The external knowledge base contains all the information meant for users visiting the company website. Additionally, the external knowledge base can interact directly with the visiting user. It’s possible for a company to have only internal, only external, or a combination of both. 

The well-organized and updated internal knowledge base is the ideal training resource for new employees. With all company and training materials stored in one place, new hires can easily access the most up-to-date information and locate answers to any questions they themselves might have. Consistently updated content stored in the knowledge base ensures everyone is referencing the same information, further maintaining and supporting brand continuity. Depending on the topic of a given customer conversation, certain customer service tools can even intelligently surface knowledge base information to agents with the help of AI.

So it’s important to consider how to best highlight the strengths of your brand while understanding and addressing the needs of your customer. 

A great place to begin with a brand knowledge base is simple: customer feedback. Talk with support teams to determine which positive and negative feedback they are fielding on a regular basis. Find out which compliments and complaints recur throughout the day-to-day business. Based on those customer trends, content can be generated that aligns with the specifics of that feedback. At the end of every day, it is your staff who hears directly from the customer and they know what is working well and exactly where there is room for improvement.  

It’s also important to ensure that the knowledge base is organised and easy to navigate. How and why customers are going to use the knowledge base will be critical to determining how company content is structured. The last thing a consumer and or a brand wants is the customer experiencing frustration simply trying to find a quick answer and solution to their query or issue. While having a lot of information and resources for customers is ideal if it isn’t organised, designed and implemented in the design in a clear way, all of the content will be for naught. 

Another essential element to consider when building a knowledge base is discoverability. A skilled knowledge base design can improve your brand’s SEO. When a knowledge base is optimised for search engine traffic, it is that much easier to maintain engagement with existing customers. In addition to existing consumers, an optimised knowledge base ensures your brand comes up in a search, thereby providing the opportunity to attract potential future customers. 

How to Create a Knowledge Base

Create an article

The knowledge base editor in Kustomer provides the tools you need to create your article content. Similar to a word processing editor, the top toolbar provides formatting options such as bold or italics, supports ordered or unordered bulleted lists, and much more. The bottom toolbar lets you add hyperlinks, images, and emojis to your articles. For more information, see Knowledge Base Article Editor.

For knowledge base building follow these steps to create a new article:

  1. Go to Settings and select Knowledge Base > Articles.
    • Note: If you have more than one Brand configured, you can also select Administration followed by Brand. Then, select the Edit icon for the brand for which you will be creating articles.
  2. Select Create Article.
  3. Enter an article title and URL slug in the Create Article window.
  4. If you have multiple brands configured, select the brands the article will reside in. For more information, see Multi-brand Knowledge Base.
  5. Select Create.
  6. Enter your content using the editor. Toolbars provide various options to format your text and add media, such as images, to your article.

Note: The total file size of an article cannot exceed 15MB. Additionally, individual attachments to an article cannot exceed 9.5 MB. If you need to include media that exceeds 9.5 MB we recommend hosting the content externally and adding a link to it in the article.

  • You can edit the HTML source directly by selecting Code View < > .
  • You can privately view an unpublished version of the article before you publish it live by selecting Preview.
  1. In the Settings tab, select the level of article access you want to grant to users. The available options are Public or Internal.
  2. Select the category and brand your article should reside in by selecting Manage Brands and Categories. For more information, see adding articles to brands and categories.
  3. Select Publish Now to immediately make the article available Your article will now be made visible in either your Public or Internal knowledge base. If you have multiple brands, the article will be visible in whichever brand you chose. If you want to schedule your article to publish at a later time, select the arrow and select Schedule Publish. Managing Articles

Once you start creating articles, you can see all of your internal and public articles from the Articles page. Here, you can filtre your articles by author, category, and status. If you have multi brands configured, you can also filtre your articles by brand. Each article listed shows its original author and the original date and time that it was created. Articles that reside in a brand will also show that brand’s logo as an icon, helping you quickly identify which knowledge bases the article is in.
